Virtual Assistant FAQs

Can I assign a Virtual Assistant tasks in addition to those listed for the original role?

As your Virtual Assistant’s role evolves, you may want to assign new tasks in addition to those listed for the original role. This is often possible.

Here are a few factors to consider when adding additional tasks:

  1. The VA’s skill set — Is the VA capable of performing the additional tasks? If not, we may need to retrain or source other candidates
  2. The VA’s ability to take on additional tasks given their current workload — is the VA working at full capacity? If so, monthly hours may need to be expanded or an additional VA may need to be sourced to complete the additional work required.
  3. Changes in compensation to reflect the VA’s new role — the VA may request additional compensation if new tasks vary significantly from the original job description

Before hiring

Prior to starting work, the VA signs a job description form. This allows us to make sure your new team member understand the requirements of the job and their commitments to those specific requirements. If you wish to make any changes to your original job posting, we suggest you do so as soon as possible so we can make any necessary adjustments before we find your candidates.

After work begins

After the VA begins work, if there are any additional requirements or tasks you wish them to complete, please reach out to the HR team or your account manager. We will find out whether your requests are within the capacity of the VA. The skill set you have requested may be one they already possess or can learn.

Developing the VA’s skill set

The VA may not currently be trained for skill you request but may be willing to receive additional training and take on the new responsibilities. For example, a client may ask if their VA can start handling phone calls. The VA may have never wanted to make or answer phone calls. However, when we speak to VA and offer them a different rate, they may be interested in adding voice calls to their skill set.

If the Virtual Assistant does not have the skills requested and is unable to acquire them, we may need to source other candidates.

How rates may be affected

The rate assigned for your VA is based on the skills defined in your initial form. There may be additional charges to your monthly rate for any additional tasks you require. Depending on the tasks, there may also be requirements for additional hours.

The VA may already possess a skill not included in the client’s job description. For example, if your VA knows how to manage WordPress sites but their current role did not initially require that skill, they may want to charge more per hour to add WordPress administration or development to the original role. Modifying the role gives the VA the ability to charge based on the skill level they provide.

If at any time there are additional skills you require of your VA, just reach out to the HR team. We can always discuss your request and negotiate with your VA to find the best solution. Please do keep in mind, however, that there may be additional hours or charges required.
